Preview URL

As described in here, a Preview URL can be used to show an unpublished dataset draft to others.

Steps for creating such a preview URL:

  • In case not already done: Log in to Edmond and go to your dataset.

  • Klick on "Edit Dataset" and "Preview URL".

  • You should now see a confirmation dialog window which shows the Preview URL. Before you close that window, you can copy that link by clicking on "Copy to Clipboard". Screenshot showing how to create a Preview URL - step 3

Notes:

  • For disabling the Preview URL you can redo the abovementioned steps (klick on "Edit Dataset" and "Preview URL") but now click on "Disable General Preview URL".
  • Preview URL can only be used with unpublished versions of datasets.
  • Once the dataset is published or if the URL is disabled, the URL will no longer work and will point to a "Page not found" page.
  • Only one Preview URL can be active for a single draft dataset.

Thumbnail of a dataset

In the overview page, Edmond shows one box per dataset with some information like title, citation etc. It also includes a small icon called "thumbnail". Aim of such thumbnails is to offer a first impression of what the dataset is about. In the example shown below, there has no thumbnail be chosen for the upper dataset (thus, the icon of some paper pages is shown), while the other one has a thumbnail.

For replacing (or adding or removing) the thumbnail, go to your dataset and click on "Edit Dataset", then "Thumbnails + Widgets".

You can either select one of the picture files (JPG or PNG) which you have already uploaded as data file (in that case: choose "Select Thumbnail"), or upload a file which is not part of your data files (in that case: choose "Upload Image").

To consider:
The thumbnail itself is not part of the 'official metadata', meaning that there is no guarantee that the thumbnail will persist in future - it might be, that a future version of Edmond might not support thumbnails any more, or that the tumbnail might get lost during an upgrade process. Furthermore, the thumnail is not related to a specific version of a dataset. Instead, it can be added, replaced or removed even from a published dataset without creating a new dataset version. Thus, if your thumbnail contains important information, it should be part of the data files, not only added as thumbnail via "Upload Image".

Contact and curation, curation levels, DataCarer

Edmond has a metadata field named "Contact" for providing a contact email. The entered email address is not publicly shown, but by clicking button "Contact Owner", a user can sent a message to that email. The contacted person should be the person who can give further information about the dataset, including scientific questions, metadata, legal aspects, further available data, further contacts, etc. It is recommended to provide more than one email address, in particular in case one is not sure whether the email will be read in some years (due to temporal contracts, retirement etc). Usually, these contact persons are DataSubmitter or DataCarer, or both. Instead of or in addition to a personal email address, one can provide functional email addresses like "data-management@example-project.de" or "library@example-mpi.de", which are expected to be available even after the retirement of the current persons.

Once a dataset is published, the Edmond team takes care about the technical preservation, namely the bitstream preservation of the files and the storage of the metadata fields. This is done for both, curation levels BasicReview and EnhancedReview.

However, datasets with level EnhancedReview have additional requirements for the dataset: At least one of the contact emails have to belong to DataCarer, who will take care about the curation of the dataset after publication for at least 10 years. Part of this curation is to serve as contact for data users and for DataReviewer. DataCarer answers questions and connects with other researchers for further information where necessary. DataCarer initiates metadata updates or corrections of the dataset where necessary, thus taking over or delegating the job of DataSubmitter, in case the original DataSubmitter is not available any more. DataCarer takes also care that the files stay readable with available software. If necessary, DataCarer initiates the conversion of the files to a new format. In order to keep the probability for that necessity low, file formats suitable for long-term archiving have to be taken.

If necessary, DataReviewer may perform corrections and updates of the dataset even without the explicit consent of DataSubmitter or DataCarer in case both should not be reachable any more. This applies for both, level BasicReview and EnhancedReview datasets.
